Contacting a placement agency in Switzerland is not just about sending a CV through a web form. The choice of channel, the timing of the follow-up, and the prior verification of the agency’s authorization directly affect the speed of processing your application.

Check federal authorization before contacting a placement agency

Every placement or service rental agency in Switzerland must have a cantonal or federal authorization issued by SECO. Before sending any application, we recommend checking the register of authorized agencies, accessible via the arbeit.swiss portal.

This verification is not just a bureaucratic formality. An unauthorized agency cannot legally conclude a temporary assignment contract or proceed with a permanent placement within Swiss territory. For cross-border workers or candidates recruited from abroad, the risk is heightened: a supplementary federal authorization is required for cross-border placements.

If the agency you are targeting does not appear in the register, move on. The Swiss market has about 800 authorized agencies, providing a wide choice without regulatory risk.

Direct contact channels: phone, email, and online form

We observe that candidates often prefer the online form for convenience, while the most effective channel depends on the type of position sought and the size of the agency.

For temporary assignments in construction, logistics, or industry, a direct phone call to the local agency remains the fastest way to get a response. Recruitment consultants in these sectors manage a flow of assignments to be filled within a few days, sometimes within hours. An email may get lost in the shuffle.

For permanent recruitment in the tertiary sector or skilled professions, sending a structured application via email or through a dedicated form is the norm. Several agencies, such as those listed on the Techna Personal website, offer a contact form that allows you to specify the targeted sector and the type of contract desired immediately.

  • Phone: preferred for urgent assignments, temporary work, and high-turnover sectors (construction, cleaning, transport)
  • Email with CV and targeted cover letter: suitable for permanent placements and specialized profiles (finance, IT, medical)
  • Online form: useful for initial contact, provided you fill in all the sector-specific fields offered by the agency
  • Spontaneous application on the agency’s portal: relevant only if you create a complete profile with verifiable references

Permanent placement or temporary work: adapting your contact approach

The contractual relationship differs radically depending on the type of placement. In permanent placement, the agency acts as an intermediary: it connects you with the company, which becomes your direct employer. In temporary work, the agency itself is your employer and assigns you to a client company.

This distinction has a concrete impact on the contact approach. For a permanent placement, the consultant expects a complete application from the first interaction: detailed CV, work certificates, copies of diplomas, and for foreigners, proof of work permit or pending application.

For temporary work, responsiveness is key. The agency needs to know quickly if you are available, in what geographical area, and for what types of assignments. We recommend preparing a summary sheet: immediate or deferred availability, means of transport, qualifications or job certifications (SUVA, forklift license, safety certificate).

Follow-up: when and how

If you have not received a response within five working days after sending an email, a phone follow-up is appropriate. Mention the date of sending, the position or sector targeted, and your updated availability. Do not follow up by email on an unanswered email: the channel has clearly not worked.

Sector specialization of agencies in Switzerland: target before contacting

The Swiss placement market is characterized by strong specialization. Contacting a generalist agency for a niche profile (watchmaking, pharmaceuticals, railway engineering) is a waste of time for both parties.

Before sending anything, identify the agencies active in your sector and geographical area. Major cities (Geneva, Lausanne, Zurich, Basel) host agencies covering finance, IT, and medical fields. Regional agencies in Valais, Fribourg, or Ticino are often more relevant for industry, construction, and hospitality.

  • Consult specialized directories (agences-placement.ch, swissstaffing.ch) to filter by sector and canton
  • Check the agency’s website to see if it explicitly mentions your profession in its areas of intervention
  • Prefer agencies that are members of swissstaffing, the employers’ federation of the sector, which imposes quality and compliance standards

Specific case of cross-border workers

A cross-border worker contacting an agency for the first time should anticipate the question of the G permit. The agency will need to know if you already have a cross-border permit or if a first application is necessary. Mention your status in the first message to avoid unnecessary administrative back-and-forth.

Agencies located in border cantons (Geneva, Vaud, Basel-City, Neuchâtel) handle cross-border applications daily and are familiar with processing times. Specifying your municipality of residence on the French, German, or Italian side allows them to immediately assess the geographical feasibility of the assignment.

The first contact with a Swiss placement agency should be prepared like a short interview: clear administrative status, precise availability, targeted sector. Agencies that receive a structured application from the outset prioritize these applications, regardless of the channel used.
